Training Terms & Conditions

Aeternum Koolitus ja Konsultatsioonid OÜ organizes adult vocational continuing education trainings throughout the year across Estonia, both as public trainings and as in-house trainings.

1. Terms and Procedure for Admission to Training and Removal from Training

1.1. Registration for training can be completed in advance here, by email at koolitus@aeternum.ee, or by calling +372 6 520 009.

1.2. The learner has the right to receive additional information by email at koolitus@aeternum.ee or by calling +372 6 520 009.

1.3. A person who has registered for a training and attends on the training day is considered admitted as a learner to the continuing education programme.

1.4. If the training group does not fill, the provider has the right to cancel the training or postpone it until the group is filled. Registered participants will be informed by phone or email at least three (3) days in advance. If the training is cancelled due to reasons attributable to the organizer, 100% of the training fee will be refunded.

1.5. A participant will be removed from the training either based on their request or due to non-payment of the issued invoice. A person who is issued a document confirming completion of the training or participation in the training at the end of the training is also considered removed from the training.

2. Terms and Procedure for Payment of Tuition/Training Fees, Exemption, and Refunds

2.1. Payment for the training is made based on an invoice either before the start of the training or, by agreement, after the training. The invoice will be sent by email and must be paid by the due date indicated on the invoice.

2.2. If a registered participant is unable to attend the training, they must notify the organizer by email at koolitus@aeternum.ee.

2.3. If cancellation is notified up to 3 days before the training starts, 100% of the tuition/training fee will be refunded, provided that an advance payment invoice has been issued. If cancellation is notified 1–2 days before the training takes place, 75% of the tuition/training fee will be refunded, provided that an advance payment invoice has been issued. If the participant does not attend without notice, the fee will not be refunded.

3. Training Fees

3.1. The training fee includes the lecture component, visual learning materials under normal circumstances, a certificate, and the collection of feedback, which— in the case of in-house training—will be provided to the Client as a consolidated summary.

3.2. The fee for in-house training does not include coffee breaks and lunch, parking costs, or travel expenses. The fee for public (open) training under normal circumstances includes coffee breaks and lunch, but does not include parking costs or travel expenses. For in-house trainings, the price is determined by a quotation, which is not public to other parties. If Aeternum Koolitus ja Konsultatsioonid OÜ organizes public trainings, all training prices are available to clients on the website www.aeternum.ee. The training company is registered for VAT, and 20% VAT will be added to the prices.

4. Document Issued Upon Completion of Training

4.1. When issuing documents, the continuing education provider considers whether the learner achieved the learning outcomes during the training. If learning outcomes are assessed and the learner achieves them, a certificate will be issued. If the learner participates in a training where learning outcomes are not assessed, or the learner does not wish to participate in the assessment process, a confirmation of participation will be issued. Aeternum Koolitus ja Konsultatsioonid OÜ is registered in the Estonian Education Information System (EHIS). The institution’s EHIS ID is 9191.

5. Principles for Ensuring the Quality of Continuing Education Activities

5.1. Continuing education curricula comply with the requirements set out in the “Continuing Education Standard” (Regulation No. 27 of the Minister of Education and Research dated 19 September 2015).

5.2. Information about the qualifications, learning experience, and professional experience of consultants/trainers is available on the Aeternum Koolitused website portfolio (www.aeternum.ee). All consultants/trainers have a background in psychology, pedagogy, and/or andragogy, adding value to the training through strong theoretical and practical foundations.

5.3. All public and in-house trainings are conducted in the training facilities of Aeternum Koolitus ja Konsultatsioonid OÜ’s partners, in coordination with the participants. Location and the technical equipment required for the training are taken into account to ensure smooth delivery.

6. Procedure for Collecting Feedback on Continuing Education

6.1. Participants have the opportunity to provide feedback electronically. After the training, participants receive a feedback questionnaire by email. In the case of in-house training, a summary of feedback will be sent to the Client by email.

6.2. Client feedback helps Aeternum Koolitused systematically identify and take into account client expectations, development needs, and satisfaction.

6.3. The following data are collected about participants: name, email, telephone number, and personal identification code. The personal identification code is required for issuing a certificate/confirmation. Personal data are processed based on § 6 of the Personal Data Protection Act.

7. Other Information

7.1. The language of instruction is Estonian. At the client’s request, trainings are also organized in Russian and English, and interpretation services are used when necessary.

7.2. Aeternum Koolitus ja Konsultatsioonid OÜ is responsible for the qualifications of trainers, preparation of the training programme, and the quality of training delivery. The Client is responsible for organizational arrangements unless agreed otherwise.

7.3. Training volume is calculated in academic hours; 1 academic hour equals 45 minutes. The training company has the right to make changes to the programme/content and schedule of the training(s). Registered participants will be informed of changes immediately.

7.4. The training company is not responsible for participants’ health condition or any possible injuries during the training.
